How to describe a repair to a tradesperson

The clearer the symptom and location, the easier it is to work out whether the job needs a visit, materials, or another specialist.

Describe what changed

“The door is broken” is a starting point, not a diagnosis. Say whether it rubs, will not latch, has dropped, lets in light, or makes a noise. Add where it is in the property and whether the issue happens every time or only in certain weather.

For a wall or exterior detail, describe the size and pattern of the mark, whether the surface feels soft, and whether water or movement is present. Avoid guessing the cause if you are not sure; the symptom is more useful.

Send the context with the photo

A wide photo shows location, a closer photo shows the detail, and a short video can show movement. Add the suburb, access constraints, who will approve the work, and any date the property needs to be ready by.

This information helps a maintenance team decide what to bring and what needs to be checked before an accurate scope can be agreed.
